Privacy Policy
This policy describes how HireBee collects, uses, and protects personal information across our platform. Please read it carefully.
1. Who We Are
HireBee ("we", "us", or "our") operates the HireBee platform, an async video interview service available at hirebee.io. This Privacy Policy explains how we collect, use, store, and share information when you use our platform — whether you are an employer, a candidate, or a visitor to our website.

2. Information We Collect
Employers
- Account information: name, email address, company name, and profile photo.
- Billing information: payment method details processed and stored securely by Stripe. HireBee never stores full card numbers.
- Usage data: jobs created, questions written, candidates invited, and feature interactions.
Candidates
- Contact information: name and email address, provided by the employer when generating an invite link.
- Video responses: recordings you make in the browser when answering interview questions.
- Device and browser metadata collected automatically when you access your invite link (IP address, user agent, timestamp).
All visitors
- Analytics data such as pages visited, time on site, and referral source — collected in aggregate and not tied to individual identities.
- Cookies and similar technologies as described in Section 8.
3. How We Use Your Information
- To provide, operate, and improve the HireBee platform.
- To authenticate employer accounts and maintain session security.
- To process subscription payments and send billing-related communications.
- To send transactional emails (e.g. invite confirmations, password resets). We do not send marketing emails without your explicit consent.
- To generate anonymised, aggregate usage statistics that help us understand how the platform is being used.
- To comply with legal obligations and enforce our Terms of Service.
4. How We Share Information
We do not sell your personal data. We share information only with the third-party service providers listed below, and only to the extent necessary to operate the platform.
Supabase
- Our database and file storage provider. Employer account data, candidate records, and video files are stored on Supabase infrastructure. Video files are stored in a private bucket and are only accessible via short-lived signed URLs.
Stripe
- Our payment processor. Stripe handles all billing data. HireBee receives only a customer ID and subscription status — no raw card data.
Vercel
- Our hosting provider. Application code and serverless functions run on Vercel infrastructure.
We may also disclose information where required by law, court order, or to protect the rights and safety of HireBee, our users, or the public.
5. Data Retention
- Employer account data is retained for as long as the account is active. If you delete your account, your data is permanently removed within 30 days.
- Video responses are retained based on your plan: 7 days on the Free plan, 90 days on the Pro plan, and a custom period on Enterprise. After the retention window, videos are permanently deleted from storage.
- Candidate records (name, email, stage) are retained until the employer deletes the job or their account.
- Billing records are retained for 7 years as required by financial regulations.
6. Your Rights
Depending on where you are located, you may have the following rights regarding your personal data:
- Access: request a copy of the personal data we hold about you.
- Correction: ask us to fix inaccurate or incomplete information.
- Deletion: request that we delete your personal data, subject to legal retention requirements.
- Portability: receive your data in a structured, machine-readable format.
- Objection: object to certain types of processing, including direct marketing.
- Withdrawal of consent: where processing is based on consent, you may withdraw it at any time.
To exercise any of these rights, email privacy@hirebee.io. We will respond within 30 days. If you are based in the European Economic Area or UK, you also have the right to lodge a complaint with your local data protection authority.
7. International Transfers
HireBee is based in the United States. If you are accessing the platform from the European Economic Area, the United Kingdom, or another jurisdiction with data transfer restrictions, your data may be transferred to and processed in the US.
We rely on Standard Contractual Clauses and, where applicable, other approved transfer mechanisms to ensure your data receives equivalent protection.
8. Cookies
We use cookies and similar tracking technologies to operate the platform and understand how it is used. Specifically:
- Essential cookies: required for authentication and session management. Cannot be disabled.
- Analytics cookies: help us understand aggregate usage patterns. You may opt out via your browser settings.
We do not use advertising or third-party tracking cookies.
9. Security
We implement industry-standard technical and organisational measures to protect your data, including encryption in transit (TLS), encryption at rest for sensitive fields, access controls, and signed URLs for all video access.
No method of transmission or storage is 100% secure. If you believe your account has been compromised, contact us immediately at security@hirebee.io.
10. Children's Privacy
HireBee is not directed to individuals under the age of 16. We do not knowingly collect personal data from children. If you believe we have inadvertently collected such data, please contact us and we will delete it promptly.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page and, for material changes, notify active employers by email.
Continued use of HireBee after a policy update constitutes acceptance of the revised terms.
